Frequently asked questions

Everything clients usually ask before booking Avari Events. If your question is not covered here, get in touch and we will answer it directly.

Pricing

How much does mandap hire cost in London?

Mandap hire starts from £1,500, and the final figure depends on the structure you choose, the depth of the floral and fabric detail, and whether lighting is built into the design. A hand-carved or jali-framed mandap sits higher than a simply draped one, and dense fresh florals will move the price again. Every quotation we send is itemised, so you can see exactly what each element contributes and adjust it. Send us your venue, date and guest numbers and we will price it properly rather than guess.

Is there a minimum spend for event styling?

We work to a minimum spend that varies with the date: a Saturday in peak wedding season carries a higher threshold than a midweek or winter booking. Individual elements such as chair covers, linen or table centrepieces can often be arranged on their own, priced per chair or per table. If your budget is modest, please say so at the enquiry stage. We would far rather shape a scheme that genuinely works within it than send you a quotation you cannot use.

How much deposit do you need to secure my date?

A booking deposit holds your date in our diary and is deducted from the final balance. It is set as a percentage of the agreed total and confirmed in writing on your quotation, with the balance due ahead of the event. Until that deposit is received the date stays open to other enquiries, which matters most for Saturdays between May and September.

Planning

How far in advance should I book an event stylist?

For a Saturday wedding in peak season, twelve to eighteen months ahead is sensible: the strongest dates go first, and so do the most in-demand mandap and stage designs. Corporate events and milestone celebrations usually need three to six months, though we have delivered beautifully at shorter notice when stock and crew allow. If your date is already close, ask anyway; we will tell you honestly whether we can do it justice.

What happens at the first consultation?

We talk through your venue, guest numbers, colours and, most importantly, the feeling you want the room to have when your guests first walk in, then show you what is achievable within your budget. An itemised proposal follows by email, and for larger projects we prepare CAD floorplans and stage visuals before anything is confirmed. There is no charge for the conversation and no obligation to book. You can request a consultation at any stage of your planning.

Can I change my décor after I've booked?

Yes: schemes evolve, and adjustments to colours, linen, sashes or centrepieces are usually straightforward up to around four weeks before the event. Larger structural changes, such as swapping a mandap design or adding a bespoke stage set, need considerably more notice because they may involve fabrication in our Harrow workshop. Anything that alters the cost is re-quoted in writing before we proceed, so there are no surprises on the final invoice.

Logistics

How long does it take to set up the venue?

A full wedding install, ceiling and wall draping, mandap, florals, lighting and dancefloor, typically occupies a crew for most of a day, so we usually need access the evening before or from early morning. Simpler schemes can be built in a few hours. We agree access and load-in times directly with your venue so nothing is left to chance, and the same crew returns for pack-down after your guests have gone.

Do you cover my area?

We work from our Harrow base and cover the whole of London, north, east, south, west and central, along with Middlesex, Hertfordshire, Buckinghamshire, Berkshire and Essex. Venues further afield are considered case by case, particularly for larger productions where the crew is on site for several days. You can see the full list on our areas we cover page, or simply tell us your venue when you enquire.

Do you deliver and set everything up yourselves?

Yes. Delivery, install, on-the-day management and collection are handled by our own crew, and much of what we install is designed and built in our own workshop. Keeping décor, lighting, audio-visual and fabrication under one roof means fewer suppliers to chase and a single team accountable for the finish. If you would prefer to collect and set up pieces yourself, dry hire is available separately through 123hire.co.uk.

Styling

Can you match the décor to my colour scheme?

Yes: linen, sashes, drapes, florals and uplighting are all specified to your palette, and uplighting in particular can shift the entire mood of a room towards your colours in a way fabric alone cannot. Bring a swatch, an outfit photograph or a saved image and we will build the scheme around it. Where an exact fabric shade is not in stock, we will show you the closest alternatives before you commit to anything.

What's the difference between venue draping and a backdrop?

Venue draping treats the whole room: ceilings, walls and pillars are covered in fabric to soften hard surfaces, warm the light and conceal anything you would rather your guests did not notice. A backdrop or stage set is a single focal feature behind the top table, stage or ceremony, built as a designed piece with panelling, florals and lighting. Most events use both: draping to set the mood of the room, a backdrop to give the photographs a centre.

Can you restyle the room between the ceremony and the reception?

Yes: a same-day turnaround is one of the things we do most often, and our crew stays on site to change the room over while your guests are at the drinks reception. It does need planning: the running order, your venue’s access rules and the number of crew all have to line up in advance. We build the turnaround into the schedule from the first conversation rather than treating it as an afterthought on the day.
