What does conference production include?
A full production covers staging and set, sound, vision, lighting, presentation management, streaming and on-site crew. We begin with the venue: a site visit, then CAD plans showing the stage, screen positions, sightlines and delegate layout, so the room is proven before anything is hired.
On the day, our technicians rig, rehearse, operate and de-rig. Your team briefs one production manager rather than four suppliers.
What audio visual does a conference need?
Sound is specified for the space and content: a lectern microphone with wireless handheld and headset backups for panel sessions, monitor speakers on stage, and two-way radios linking the crew so cues happen quietly.
For vision, an LED video wall, screens or projection carry slides, video and live camera feeds. Our audio visual team provides a visual technician who watches every input, and lighting that keeps presenters properly lit rather than washed out by the screen behind them.
How do you run a hybrid or streamed conference?
Live streaming takes a clean audio feed and switched multi-camera vision, so remote delegates get the presenter and the slides rather than a wide shot of a stage. Sessions can be recorded for on-demand release afterwards, and remote questions moderated back into the room.
How is the stage designed?
A bespoke stage set built in our workshop gives the conference a branded, photographable identity and hides the practical clutter of cabling and screen structure. Venue draping masks awkward architecture and improves the acoustics of hard-surfaced rooms, and event lighting can wash the space in a brand colour between sessions.
What about delegate materials and wayfinding?
Our design and print team produces banners, sponsor boards, wayfinding, lecterns graphics, name badges and seating plans, produced to your brand guidelines and delivered with the rest of the build rather than chased separately.
Who manages the day itself?
An Avari production manager owns the schedule from crew call to de-rig, working alongside your organisers. Our event management team handles speaker rehearsals, timings, supplier access and contingency planning, which is what keeps a multi-session day from drifting.

Do you supply technicians as well as equipment?
Yes. Every conference is crewed with sound, lighting and visual technicians who set up, rehearse with your speakers and operate the show live. Equipment without an operator is where most conference AV problems begin.
Can you run a hybrid conference?
We provide multi-camera live streaming with dedicated audio feeds, presentation capture and moderated remote Q&A, so online delegates receive the same content as the room rather than a distant camera view.
How do you handle speaker slides and presentations?
We collect decks in advance, load and test them on a managed playback system, and provide confidence monitors and a comfort screen on stage. Speakers use a clicker rather than passing laptops between sessions.
What size conferences do you produce?
