Audio Visual Production for Events

Event audio visual production and hire in London: sound systems, intelligent lighting, screens and CAD-planned technical coordination by Avari Events.

Audio visual production for events is the design, supply and operation of the technical systems an event runs on: sound reinforcement, intelligent lighting, screens and visual playback, and the coordination that keeps them all cued to the running order. Avari Events has delivered AV for weddings, corporate conferences, brand activations and private celebrations across London and the Home Counties since 2009, blending technical capability with the styling side of our work so the equipment serves the design rather than interrupting it. Every production is planned in advance through CAD layouts and technical coordination covering speaker placement, sightlines, power and cable routing. On the day our technicians install, test and operate the system. The result is speeches everyone can hear, visuals that appear on cue, and a room whose atmosphere shifts exactly when it should.

What does event AV production include?

Professional sound systems sized to the room and the audience, intelligent and creative lighting, visual production and playback across screens or LED video walls, and microphones for speeches, ceremonies and performances. Alongside the hardware sits the part that actually determines whether an event runs well: technical coordination, CAD layouts, cue sheets, rehearsal time and a technician on the desk through the event itself.

Why is planning done in CAD?

Because sightlines, sound coverage and cable routing are geometric problems, and they are far cheaper to solve on a drawing than on the day. A scale layout fixes where each speaker, fixture and screen will sit, confirms that every guest can see the stage and hear a speech, and flags conflicts with the stage set or the table plan while both can still change. It also tells the venue exactly what we intend to do in their room.

How much does audio visual hire cost?

AV production starts from £450, quoted against the size of the room, the audience number, the equipment specified and the level of technical crew required. A microphone and modest sound system for speeches sits at one end; a fully crewed conference production with screens, staging and a lighting rig sits at the other. Site survey, installation, testing and derig are included.

Do you work with other production partners?

We do. Our AV work is delivered in collaboration with Outline AV, part of our family of brands, which gives us access to a deeper equipment inventory and specialist crew for larger productions without introducing an unfamiliar supplier to your event. It is the same reason our live streaming and video wall work sits so closely alongside the AV rig.

Which events do you supply AV for?

We cover conferences, award ceremonies, receptions and gala dinners, weddings, fashion shows, exhibitions and education and training events throughout London and the Home Counties.

How do we specify a rig?

Send us your venue, your date and your running order, and we will return a technical proposal and a quotation. Contact us to arrange it.

Frequently asked questions

Does a technician stay for the event?

For anything with speeches, performances or a running order, yes. A technician mixes the sound, cues the visuals and handles anything unexpected, which is what separates a managed production from equipment left in a corner.

Can you work with our venue's in-house system?

Often we can, and where the house system is adequate we will say so rather than sell you a rig you do not need. Where it is not, most commonly in rooms with poor speech clarity, we supplement or replace it.

What is a CAD layout and why does it matter?

It is a scale drawing of the room showing where every speaker, fixture, screen and cable run will sit. It settles sightlines, coverage and access before anyone arrives on site, so the build follows a plan rather than a guess.

Do you provide microphones for speeches?

Handheld, lapel and lectern microphones are all available, with spares on site. For ceremonies we usually recommend discreet lapel microphones so the audio is clean for both the room and any recording.

Can AV be combined with live streaming?

Yes. The sound feeding the room and the sound feeding a stream come from the same desk, which is the single biggest factor in stream quality. We plan both together with our live streaming team.
