Reception and gala dinner production is the work of turning a large seated event into an evening with atmosphere and a sense of occasion. It layers the room from the outside in: venue draping and ceiling treatments to reshape the space, a stage and backdrop that anchor speeches and awards, tables dressed with linen, chair covers, centrepieces and florals, and lighting that washes the walls in a single palette while pinspotting each table’s detail. Running underneath is the production that keeps an evening moving: sound specified for the space and its speeches, LED screens or projection for films and sponsor content, special effects for the moments that deserve them, and a dancefloor waiting for the point the room is released. Avari Events designs, builds and crews all of this in-house, so a drinks reception, a formal dinner and a late-night celebration read as one continuous evening.
What does gala dinner production include?
A design concept and palette, CAD plans of the room and table layout, then the full physical delivery: venue draping, a stage set and backdrop, chair covers and linen, table centrepieces and floral design, lighting, sound, screens, entertainment and a dancefloor.

How do you transform a plain banqueting room?
Draping does the heavy lifting. Wall and ceiling treatments cover dated carpet-to-ceiling architecture, service doors and fire exits, and reduce the echo that makes hard-surfaced rooms exhausting to sit in.
Then creative lighting rebuilds the room’s mood: uplighting around the perimeter in your colour, pinspots that make every centrepiece glow rather than sit flat, and a warm wash across the tables so faces look good and dinner feels intimate at scale.
What makes a reception feel considered?
The arrival sets expectation. Lighting at the entrance, a styled reception area, a photo wall or backdrop for arrivals photography, and sound at a level that lets people talk rather than shout, those first ten minutes decide how guests feel about the rest of the evening.
What audio visual does a gala dinner need?
Speech intelligibility across a room of round tables is the real challenge, so sound is specified for the space, a line array in a large hall, point source in a smaller one, with a microphone-equipped lectern and wireless handheld or headset microphones for hosts and speakers.
LED video walls or screens carry films, sponsor content and live camera feeds so the far tables see the stage properly. Our audio visual team crews the evening with sound and visual technicians.
How does the evening move from dinner to dancing?
By design, not by accident. Lighting states change, the system shifts from speech to music, and the dancefloor is positioned and lit so guests move toward it as tables are cleared. Confetti drops, dry ice and pyrotechnics are available where a finale calls for one, and live music or a DJ is booked and coordinated alongside the production.
